Judo Saskatchewan would like to inform you of an important national update regarding membership registration and club management.
As part of Judo Canada’s transition to a new membership management platform, all Provincial and Territorial Sport Organizations (PTSOs), including Judo Saskatchewan, will begin using Dokume effective July 1, 2026.
This transition represents a significant step forward in modernizing how we manage memberships, club administration, event registration, tournament results, and communication across the Canadian judo community.
Club Setup and Validation
Judo Saskatchewan will work closely with all member clubs to establish and validate your club accounts within the Dokume platform.
You can expect to receive an email directly from Dokume with instructions to create your account. Please check your spam or junk folder if you do not see it in your inbox.
Additional guidance and step-by-step instructions will be shared throughout the implementation process.
Membership Registration
Beginning July 1, 2026, all members must register through Dokume. This platform will replace Trackie as the official registration system for both Judo Canada and Judo Saskatchewan.
To support a smooth transition, existing membership data from Trackie will be imported into Dokume before the start of the 2026–2027 season.
Important:
Current members should renew their existing membership and must not create a new account or membership number. This ensures that all historical data (rank, certifications, competition results, etc.) remains intact.
Club Registration Options
Dokume will support multiple registration methods for clubs:
- Member Self-Renewal: Clubs can send renewal links directly to members.
- Club-Assisted Registration: Clubs can continue registering members on their behalf.
- Bulk Registration: Clubs using bulk processes should contact Judo Saskatchewan for setup support.
Club Fee Collection (Optional)
Clubs may choose to use Dokume to collect:
- Club membership fees
- Program fees
- Camp or event registrations
However, this is optional. Clubs may continue using their current payment systems if preferred.
Processing Fees:
For payments processed through Dokume, the fee is 5% + $0.50 per transaction. Clubs choosing this option will need to complete a banking verification process.
Enhanced Features for Clubs
Dokume offers expanded tools to support club operations, including:
- Membership and participant management
- Online registration and payments
- Communication and notification tools
- Reporting and administrative dashboards
- Document storage and tracking
- Integrated tournament and event registration
- Member profiles with access to rankings, gradings, and results
These features are designed to improve efficiency and enhance the experience for both administrators and members.
Transition Period
Trackie will remain active until August 31, 2026, allowing for a smooth transition.
No members will lose access or privileges during this period. This overlap ensures adequate time for clubs and members to become familiar with Dokume.
Training and Support
Judo Saskatchewan, in partnership with Judo Canada, will provide training sessions, resources, and ongoing support to assist clubs throughout the transition.
We are excited about the opportunities Dokume will bring to our judo community and appreciate your cooperation as we move to a more modern and streamlined system.
If you have any questions or concerns, please contact your Provincial Registrar at registrar@judosask.ca.
